Hi,
I'm still fairly new to SysAid, so maybe I'm asking a newbie question here -apologies for that. I've checked the forum but can't find anything about it.
This is my issue: when creating new tasks, you select the related project from a drop-down list. Right now, that list also includes already closed projects. When our list becomes full of closed projects, this will be unworkable! How can we limit the drop-down to show only active projects?
Similarly, when I create a task from within the project's task list, I still have to select the project from the drop-down! Why? Since I'm already inside the project I want it linked to?!
Are these 'undocumented features'?

Hello Trevize.
1. Projects do not have a "closed" status by default, Did you added a closed status to the status list?
Also, you are not obligated to choose a project when opening a new task.
since the projects are not meant to be "closed", it should not be removed from the project list.
2. Which version of SysAid are you using? I'v tested it on my system and the task was created with the listed project by default.

thx for the fast response. Yes, I suppose I added several statusses to the project status list and that would explain that SysAid doesn't know the difference between one status or the next. So, works as designed, then. But then the new questions is: how can I remove projects and tasks from the lists once they're done. I've got a lot of projects over the year and I don't want my lists clottered with a lot of old cows? Basically just like the SR's.
I've got version 5.5.06 full edition and the automatic project designation works for the first one or two tasks but after that it won't anymore.

Me too! Even when opening the project first, the project is only defaulted for the first task entry, not subsequent task entries. If I go back to the project list and select the project again I can add another task and the project is defaulted. It's gone after that and I have to select it from the drop down.
This is not a really high priority problem, just frustrating and inefficient to enter a dozen tasks only to realize they do not have a project associated. Each task must be reopened to select the project.

So did I, but this filter only applies to the overview of projects and not the drop-down list...

I'm not sure why this issue is happening to you, I'll need to check with our senior support, since my tests did not re-produced this issue.

I've read all the replies and it seems that the original question was never answered...
When a project is complete I would like to have it removed from the “active” project list, but not delete it. There are times when we would like to refer back to a completed project, or re-institute a project that has been cancelled.
It would be nice to have a “Project Archive” where completed projects are moved to so that they can be looked up if need be, and not bog down the "active production" database.

Hello Thrawnknolls,
In order to remove closed projects from the list of active project, please create a status for project such as Close or Not Active. In order to do that please go to Preferences > Customize > Customize Lists Tab > choose Project Status on the drop down list > add the status that you need and save.
The next step is to add the Filter status you created to the status drop down in order to be able to exclude closed projects.
Please go to Task\Projects > Projects > click on the blue cogwheel > on the Filter Menus choose the status, click edit, In the Filter Status write the status name and in the Filter expression write (status <> '#'). Click add, close, save.
Make sure to replace # with the key number of the "closed" status.
Now you can filter the list and see only the Not Closed Projects.

The last response from itayH still does not seem to answer the original question.

I am STILL experiencing this same issue with version 7.0.04 almost 2 years after the original post!
When I spoke with support I was told that there is NO WAY to accommodate the above request. I was told the only option for removing projects from the drop-down is to delete them from the system. That is not an acceptable solution as I will need to reference closed projects in the future.
Unfortunately this is a critical make or break issue for my team. Some sort of solution would be greatly appreciated.

I definitely agree that the project list should only contain the active projects. It is more intuitive and reasonable to my opinion.
I want to get our product manager to get involved in this discussion and possibly make it into a feature request (to divide the project statuses to active and completed, and then allow associating tasks with active projects).
Either way, I wanted to mention a way for users to better handle long list of projects. The list will only first the first X amount of projects, and then have a More option to search and select from all possibilities. The X amount is configurable at Customize > Appearance > Maximum items in a dropdown list

Thank you for the response. And thank you for taking a step towards getting this feature in a future release. I really appreciate it, it does seem like a feature that should have been there are along.
While limiting the number of items in a dropdown list is nice, unfortunately it just adds more clicking to selecting the proper project. Since the dropdown populates in alphabetical order if I have 20 old projects beginning with the letter "A" then they will fill up the list and my users will always have to use the More button to get to the active projects.

Hi Will,
This issue is going to be addressed soon as part of our plans to improve the dropdowns in SysAid, we are planning a better mechanism for selecting from a long list with an integrated search mechanism for narrowing down the search results.
Till this is Available, in your case I can propose that you create tasks from within a project under the task tab. It auto populates the current project.
Selecting projects from the project list is much easier, you can create filters etc...
Maybe selecting from a large number of projects needs to open the full project list with all fields, like selecting request user, this gives filters and advanced search options.
